Main purpose of role:

Preparation of quotations/tenders using a computerised estimating system, ensuring prompt turnaround of all enquiries and that deadlines are met.  This will include reading and understanding customer specifications, interpreting the requirements and converting them into a system configuration, which will provide the most cost-effective solution.

The Estimating Department provides cost estimates to Customers & Sales personnel for the Company’s installed systems/products.  Often requests need to be turned around quickly.

Complete typically 5-8 quotations per week ranging in value between 1k and 500k. There will be fluctuations throughout the year to take into account Local Authority year end and Tunstall year end periods.

Key responsibilities and results areas:
  • To prepare quotations.
  • To liase with other departments and suppliers to enable the build up of a quotation.
  • To read and understand detailed customer specification including contract terms and conditions.
  • To ensure timely submission of quotations which can be converted to an order.
  • Dealing with all telephone enquiries and written correspondence relating to estimates.  These will typically involve answering queries against quotations submitted or alternatively customers seeking advice/guidance which may result in a verbal quotation being provided.
  • Obtain site survey information from surveyors when required.  Carry out regular progress chasing to ensure timely return of information. 
  • Liase with the Installation Department regarding system design, marking up layout drawings, builders work requirements, special requirements etc.  Where there are special requirements, identify suitable solutions, which will require close liaison with R&D/Suppliers and Purchasing Department.
  • Ensure correct and accurate interpretation of customer specifications detailing any variations to enable full evaluation of the available options prior to response to enquiry.
  • Ensure that overdue quotations are kept to a minimum by keeping both customer and Account Managers informed of any difficulties.  This will require prioritisation of the workflow but equally important is communication.
  • Liase frequently with the relevant Account Manager to ensure the communication channels are maintained.
Knowledge, skills and experience competencies:
  • Be articulate and numerate.
  • Have good attention to detail
  • Computer experience – Be familiar with the Windows OS, Have a good understanding and working knowledge of Excel, Word & Outlook.
  • Have GCSE / O Level passes (grade C or above) in Maths & English.
